Changing from Office 365 Business Essentials to BT Business Email Lite

We're making some improvements to our Manage services website that'll make it easier to use. We've started to move customers to the new site but it's going to take a while until we move everyone over.  In the meantime, we're using two different sets of answers to some of our Frequently Asked Questions. This isn't ideal, we know.

To make sure you get the right answer to your question, we first need to check which Manage services website you're on.

Which Manage services website am I on?

  1. Sign in to Manage services
  2. Take a look at the screen you see after you've signed in
  3. Click on the image below that matches your actual Manage services screen (the new one has a purple right hand column titled Hello followed by your name)

We'll then show you the right answer to your question.

Click on the image above which is closest to the site you see after signing in. More help will then appear here.

Preparations: Purchase your Office 365 licences and back up your mailbox content

Before you start, make sure you have sufficient BT Business Email Lite licences within Manage Services. To check this:

  1. Sign in to MyOffice as the Primary user.
  2. Navigate to Manage Services.
  3. Click on Email Summary - this will display all mailboxes on the account.
  4. Check the number of unassigned BT Business Email Lite licences.

Then make sure you've downloaded and backed up all of your mailbox content. This is only required if you want to reload your content within your own email client once your new mailboxes are set up.


De-activate your Office 365 Business Essentials /Premium licences

Cancel your Office 365 Business Essentials / Premium licences or entire subscription on BT Business Apps, see Cancelling Office 365 Business Essentials.

You'll need to cancel the entire subscription if you have a domain you want to release and re-attach to BT Business Email Lite.


Create your mailboxes with BT Business Email Lite

The next steps will differ depending on whether you want to use an externally hosted domain, a BT-hosted domain, or our BTconnect.com email addresses.

Mailboxes using BTconnect.com or BT-hosted domain

  1. Within Manage Services, Click on Email Summary.
  2. Click Add New User.
  3. Enter your details then click Next.
  4. Choose a User name - this'll be the bit before the '@' symbol of your email address.
  5. Select the domain that you want to use. Then choose your password, (make sure you keep it safe for later).
  6. You'll be asked to choose a licence type, this will depend on the domain that you chose. Click Next.
  7. Review your details, and then click Next.
  8. After a few minutes you'll see a confirmation message.

Mailboxes using an externally hosted domain

If you want to use a domain hosted externally, you will first need to register it for Smart Hosting in our Manage Services platform, see Register your domain for smart hosting. This process will include setting up your first mailbox.

To create the next mailboxes, follow the steps 1 to 8 in the previous section.


Optional: Set up your mailboxes onto your email software and re-load your former back-up content

If you wanted to reload your existing emails within your mailbox, you need to set up your mailboxes onto an email software. Here are the steps to do so:

  1. Set up your email software with your mailbox, see How do I set up my email software using Office 365?
  2. Import your former mailbox backup content, see How to import an email backup in Outlook 2010.

  1. Sign in to Manage services as the Primary user using your username, like you@yourcompany.com and password.
  2. Under Email, next to your License type, select Manage.
  3. Click Create Email Account.
  4. Complete the required details and click Continue.
  5. Now check your details and click Create email account.
  6. Click Finish.
  7. For the first mailbox set up, you'll receive a temporary password so you can activate your new email account. This will be via an email or text depending on what you chose in step 4.

Mailboxes using an externally hosted domain

If you want to use a domain hosted externally, you will first need to register it for Smart Hosting in our Manage Services platform, see Register your domain for smart hosting. This process will include setting up your first mailbox.
